These Terms & Conditions explain the basis on which The Bureau of Little Things provides virtual assistance and business support services.
Specific work, hours, prices and deadlines may also be agreed separately with each client.
1. Our services
The Bureau of Little Things provides remote virtual assistance and business support, which may include:
Email and inbox support
Customer enquiry support
Data entry and spreadsheets
Diary and appointment management
Canva and basic creative support
Online product listings
General administrative support
Other mutually agreed tasks
The exact work to be carried out will be agreed before work begins.
2. Packages and hours
The Bureau may offer one-off and monthly packages.
Package hours may be used only for tasks agreed between The Bureau and the client.
The amount of work that can be completed within a package will depend on the nature and complexity of the tasks requested. Purchasing a number of hours does not guarantee that a particular quantity of tasks, graphics, listings, emails or other work can be completed within those hours.
3. Prices
Current prices are displayed on our website or provided in writing before work begins.
Any work requested outside an agreed package or scope will be discussed with the client before additional charges are incurred.
Unless otherwise stated, bespoke or additional work may be charged at the rate agreed with the client.
4. Payment
Payment terms will be confirmed before work begins.
Invoices must be paid by the due date stated on the invoice.
Where advance payment is required, work may not begin until payment has been received.
5. Monthly packages
Monthly packages provide an agreed number of support hours during the relevant monthly period.
Before you launch these, you should decide specifically whether unused hours expire, roll over or can be carried forward. Don't publish a rule until you've decided how you actually want to operate it.
Any additional hours must be agreed separately and may be subject to availability.
6. Cancellations and rescheduling
If you need to cancel or change agreed work, please contact The Bureau as soon as possible.
Any applicable cancellation charge will be communicated clearly and must comply with the client's statutory rights. Cancellation terms should be reasonable rather than simply declaring all deposits or payments non-refundable; UK government consumer guidance notes that unfair cancellation terms may not be enforceable. Where applicable, nothing in these Terms affects a consumer's statutory cancellation rights.
7. Turnaround times
Estimated deadlines and turnaround times will be agreed according to the work requested and current availability.
The Bureau will make reasonable efforts to meet agreed deadlines but cannot be responsible for delays caused by circumstances outside our reasonable control or by information, access or approvals not being supplied by the client when required.
8. Client responsibilities
Clients are responsible for:
Providing accurate instructions and information
Providing necessary access or materials in a timely manner
Checking and approving work where appropriate
Ensuring they have the right to provide any materials or information supplied to The Bureau
Keeping The Bureau informed of relevant changes to a task or deadline
9. Passwords and account access
Where access to client systems or accounts is necessary, the safest practical access method should be used.
Clients should use delegated access or separate user accounts where available rather than unnecessarily sharing master passwords.
Access should be limited to what is required to complete the agreed work.
10. Confidentiality
Information provided by clients in connection with their work will be treated confidentially and used only as reasonably necessary to provide the agreed services, unless disclosure is required by law.
Where appropriate, additional confidentiality or data-processing terms may be agreed separately.
11. Client data
Where The Bureau handles personal information on a client's behalf, the parties may need additional data-processing arrangements depending on their respective roles under data protection law.
Clients remain responsible for ensuring they are entitled to provide The Bureau with access to information required for the agreed work.
12. Intellectual property
Unless otherwise agreed in writing, the client retains ownership of materials they provide to The Bureau.
Ownership and permitted use of work created by The Bureau for a client should be agreed as part of the project or service arrangement.
Clients are responsible for ensuring they have permission to use any images, text, trademarks or other materials they ask The Bureau to work with.
13. Third-party services
Some tasks may involve third-party platforms or software.
The Bureau is not responsible for outages, changes, restrictions or other matters outside our reasonable control relating to third-party services.
14. Limitation of responsibility
The Bureau will provide services with reasonable care and skill.
Nothing in these Terms excludes or limits liability where doing so would be unlawful.
The Bureau is not responsible for losses caused by inaccurate information or instructions supplied by a client, unauthorised changes made by others, or events outside our reasonable control.
15. Ending an ongoing arrangement
Either party may end an ongoing arrangement in accordance with any notice period agreed when the service begins.
Any work already completed and properly chargeable remains payable.
16. Changes to these Terms
These Terms may be updated from time to time. The version applicable to a client's work will be the version agreed or otherwise applicable when the relevant service is purchased or commissioned.
